Working with tasks

How to create a task, what each field means, how a task moves from start to finish, and how you keep the team in the loop.

Creating a task

You can create a task from the place you are already working, so the link back to the finding is kept for you.

The Tasks tile on your home dashboard lists your recent tasks; click one to open it.

The fields

Field Meaning
Title Required. What needs doing. Up to 300 characters in the form.
Description Plain text detail (up to 20,000 characters through the API; the form shows a plain text box).
Assignee One person, or through the API a group. Leave empty if nobody owns it yet.
Due date A day. A task is late from the end of that day.
Severity Critical, High, Medium (the default) or Low. Spreadsheet import calls this Priority.
Status See below.
Team The group or team the work belongs to. It is a label you can filter and report on; it does not by itself put the task in anyone's My Tasks.
Points A number for effort, used for workload totals.
Notify An optional notification model that emails a list of people when the task changes. Set in the detail pane after the task exists (not on the create form). See Task notifications.
Linked record The detection, takedown or asset the task is about. Shown as a chip under the title.

Ctrl or Cmd plus Enter creates the task from the form. When you create from a detection, asset or gap, the form shows "Linked to " and the link is set for you. The Status chip only appears when editing: a new task is Not started if it has an assignee and Not assigned if not.

The detail pane

Click any task to open its pane on the right. From the top:

  • A Mark complete toggle, Copy link and Archive.
  • If it is a subtask, a breadcrumb to its parent task.
  • The title. Click to edit; Enter saves, Esc cancels.
  • Linked-record chips. Detections, takedowns and assets open the record; other IDs are shown as plain chips.
  • "Created 2w ago by ...", "Updated ...", and once done "Completed ... (on time)" or "(late)".
  • The fields above, each editable in place.
  • Description, Subtasks (with a done count and Add subtask), Attachments and Activity.

Every open task has an address ending ?task=TSK-.... Copy link gives you that address; anyone in your organisation who opens it lands on the task.

Status

Status Meaning
Not assigned Nobody owns it yet. New tasks with no assignee start here.
Not started It has an owner but work has not begun. Assigning a Not assigned task moves it here automatically.
In progress Work has begun. The first time a task enters this status, its start date is recorded.
In review Waiting for someone to check the work.
Rejected The work was checked and turned back, or the task was declined.
Completed Done. The completion time is recorded. Moving a task out of Completed clears it.

Statuses are not forced into a sequence: you can move a task to any status. Use Board to move by dragging.

Assigning work

Set the Assignee to a person: it appears in their My Tasks and, when someone other than the assignee makes the assignment, they receive an email "New Task Assigned" with a link straight to the task. A task assigned to a group shows up in the My Tasks of everyone in that group. Anyone with Tasks access can reassign any task. Use Team to say which group the work belongs to, and filter by it on Tasks.

Subtasks

Add subtasks in the detail pane to break a task into steps. The parent shows "1/2" for how many are done, in the list and on the board. Subtasks are full tasks: they have their own assignee, status and due date. They are not shown in the top-level list; open the parent to reach them. Archiving a parent archives its subtasks.

Comments and activity

The Activity section shows the whole history of the task: every field change ("changed the status Not started to In progress", "set the due date to ...", "assigned the task to ..."), and every comment, newest first, with Load more.

To comment, write in Add a comment.... Two options sit beside it:

  • Notify: also email the whole organisation about this comment (hidden while Internal is ticked).
  • Internal (administrators only): the comment is visible only to organisation administrators. It cannot be combined with Notify.

There are no @mentions. To pull someone in, assign the task to them or share the link. Notify emails the whole organisation, so use it for things everyone should see.

Attachments

Add files in the Attachments section of a task.

Archiving

Use the archive icon in the pane, or select several tasks and choose Archive. Archived tasks disappear from lists, counts and analytics and can be restored from the Archived tab.

Requesting a review by someone else

If you want a colleague to check a task's work, set the status to In review and assign it to them. To get Hunto's analysts or automated checkers to look at a finding, use Ask for a check; see Asking Hunto to check a finding.
